What We Are Looking For
The Research Services Coordinatoor will serves as primary support for three professors (Welch Chair in Chemistry, Schotts Professor of Chemistry, and Assistant Professor) with academic responsibilities and large research programs. Perform all administrative and business-related functions. Assists management in the coordination of office and lab activities and provides administrative support to specialized activities and projects.
A bachelor’s degree is required for this position, however, experience equivalency will be considered in lieu of the education requirement. Candidates must have the ability to embody the Baylor culture and possess a deep appreciation for the University's Christian mission. An active Christian faith is required.
What You Will Do
- Assists in the supervision of daily office support activities and provides administrative support for specialized activities and projects.
- Management of the office of three large, continuously growing research groups.
- Complex duties involve daily contact with laboratory directors and approximately 30 other staff members (research scientists, visiting scholars, postdoctoral research associates, and graduate and undergraduate students).
- Maintain confidential files, relating to promotion, salaries, educational, and research activities for all research personnel. –
- Interface with large number of undergraduates and graduate students in courses taught by the directors, schedule student appointments, record exam grades, and maintain grade records, handouts and exam files.
- Assist in transition of incoming and outgoing research chemists of many different nationalities.
- Interface with scientists to organize symposia at scientific meetings.
- Manage departmental and other committee work, including scheduling of meetings.
- Relieve laboratory directors of routine operational details by handling numerous routine inquiries that do not require their attention.
- Keep up with relevant changes in the University’s policy and procedures manual.
- Assist laboratory directors in maintaining compliance with all safety regulations.
- Performs advanced word processing, desktop publishing, presentation and data management activities and assists staff with the use of these applications; maintains materials for availability.
- Manage all business matters for research budgets of over $1,250,000 per year, including, budgeting, and salary authorizations for laboratory personnel. Records for multiple accounts are maintained and familiarity with the procedural requirements of various internal and external agencies are required.
- Maintain record of reporting deadlines and assist with preparation of materials for submissions of reports to funding agencies.
- Handle all non-scientific aspects of pre and post publication of the laboratories’ publishing activities.
- Organize and maintain all groups’ extensive research records, including graphs, figures, research notes, and equipment designs.
- Make travel arrangements and coordinate itineraries for supervisors, senior scientific staff and a number of distinguished visitors to the Department, including leave requests.
- Assist in planning and implementation of domestic and international conferences.
- In coordination with senior laboratory staff, University and Research Foundation personnel, oversee the preparation of all non-technical aspects of progress reports, continuation grant applications, and proposals for new funding to a variety of agencies.
- Prepare and edit various requested surveys and information for outside agencies such as national professional societies and funding agencies and for internal administrative units.
- Create and maintain necessary databases to track all administrative files and records involving space allocations, major equipment purchases and maintenance, accounting, and publishing activities of the laboratories.
- Manage and maintain equipment inventories valued at $2,000,000 including deleting, transferring, and locating the equipment as needed.
- Perform all other duties as assigned to support Baylor’s mission
